How to Export Expenses for Your Accountant

Send your accountant a clean file of what you spent, with the receipts attached, instead of a folder of photographs.


Exports are how the spending you have recorded leaves AstaBill for your accountant, your auditor, or your own records. Which formats you get depends on your plan.

What each plan can export

  • Free — no expense export. You can still record and review expenses in the app.
  • Starter — CSV export, which is what most accountants and spreadsheets want.
  • Growth — CSV plus PDF/ZIP export, which bundles the receipt documents along with the figures.
  • Business — all of the above, plus scheduled expense export packs delivered by email on a recurring schedule without anyone having to request them.

To export expenses

  1. Click Expenses in the left menu.
  2. Filter to the period, category, or vendor you want to send.
  3. Choose the export format your plan offers.
  4. The file downloads with the expenses and, on PDF/ZIP, the attached evidence.

On the Business plan, recurring expense audit packs are set up in Settings → Compliance & Reporting. You can send a test pack from there to see exactly what your accountant will receive before you schedule it.

The PDF/ZIP export is the one to use at year end. It carries the receipt images alongside the figures, which is what an auditor asks for and the hardest thing to reassemble after the fact.
